Overview

FaxSmile ("we," "our," or "us") is an online fax service that allows you to send faxes without creating an account. This policy explains what information we collect, how we use it, and your rights.

Information We Collect

Documents you upload

When you upload a file, it is stored in our private, encrypted cloud storage solely for the purpose of counting pages and transmitting the fax. Once the fax reaches a terminal state (delivered or failed), the file is automatically and permanently deleted from our servers. No copy is retained after deletion.

Fax metadata

We store a record of each fax transaction including: recipient fax number, page count, cost, delivery status, and timestamp. This record is associated with an anonymous session identifier, not your name or email.

Payment information

Payment is handled by a third-party payment processor. FaxSmile never sees, stores, or has access to your full card number, CVV, or billing address. The processor may collect and store payment data in accordance with its own privacy policy.

Anonymous session identifiers

We use an anonymous session mechanism to associate your fax history with your browser. No personally identifiable information (name, email, phone) is required or collected for this session.

Usage data

We may collect standard server logs including IP addresses, browser type, referring URLs, and pages visited. This data is used for security monitoring and service improvement.

How We Use Your Information

• To transmit your fax to the recipient
• To process and confirm your payment
• To display your fax history during your session
• To detect and prevent fraud or abuse
• To improve the reliability of our service

Data Sharing

We do not sell your data. We share information only with:

• Fax transmission partners — telecommunications providers that receive the recipient fax number and your document to deliver the fax.
• Payment processor — to authorize, capture, or void charges for fax transactions.
• Hosting and infrastructure providers — to operate our application, database, and storage (including fax metadata and anonymous session identifiers).

Each of these providers has their own privacy policy and security practices.

Data Retention

Uploaded documents are not retained after transmission. Fax metadata (status, number, cost) is retained for a limited period to support fraud detection and customer support. Anonymous session data may be cleared after extended inactivity.

Cookies & Local Storage

FaxSmile uses browser session storage (not cookies) to temporarily hold fax data during the payment redirect flow. This data is cleared immediately after use. We do not use advertising trackers or third-party analytics cookies.

Your Rights

Because FaxSmile does not collect personally identifiable information, most requests (erasure, access) are satisfied automatically by the anonymous design of the service. If you have questions about data associated with a specific fax transaction, contact us below.
